PRIVACY POLICY

Ren Systems, Inc. (“Ren Systems”) is committed to protecting the privacy of users of our website, www.rensystems.com, and any subdomains thereof (the “Site”), and the services, features, and information available on the Site and/or mobile application we offer (together with the Site, along with associated and successor websites, applications, features, information, and services, or any part thereof, the “Service”). This Privacy Policy applies to and explains how we may collect, use, share and otherwise process information in connection with the Service.
As used herein: (a) “you” and “your” mean a user of the Service; (b) “GDPR” means the General Data Protection Regulation (EU) 2016/679; (c) “UK Data Protection Laws” means the UK GDPR and the UK’s Data Protection Act 2018 (“UK DPA 2018”); (d) “UK GDPR” means the UK equivalent of the GDPR, as defined in section 3(10) (and as supplemented by section 205(4)) of the UK DPA 2018; (e) “European Data Protection Laws” means the GDPR and/or UK Data Protection Laws, in each case to the extent applicable; and (f) the terms “using” and “processing” information include using cookies on a computer, subjecting the information to statistical or other analysis and using or handling information in any way, including, but not limited to collecting, storing, evaluating, modifying, deleting, using, combining, disclosing and transferring information within Ren Systems or among our affiliates within the United States or internationally.
If an organization with which you are associated (an “Organization”) signs up to use our services, we may receive information about you in connection with our provision of such services to your Organization. To the extent we process that information solely in order to provide such services to your Organization, we will act as a processor on behalf of your Organization in respect of that information, which means: we will handle that information solely at the direction of your Organization; your Organization’s privacy policy (and not this Privacy Policy) will apply to the processing of that information; and your Organization (and not us) is responsible for obtaining all necessary consents and providing you with all requisite information as required by applicable law. To the extent we process your information for any other lawful business purpose of ours, this Privacy Policy will apply to the processing of such information.
INFORMATION WE COLLECT
We may collect the below types of information when you visit the Site, use the Service, or otherwise interact with us. To the extent any such information can be used to identify you or can be tied to you in an identifiable manner, such information amounts to ‘personal data’ for the purposes of and as defined in the European Data Protection Laws (to the extent applicable).
Personal contact and profile information, such as your first and last name, email and mailing addresses, phone number, fax number, calendar data, and demographic information (such as your gender, occupation, title, company name).
Account information, such as the username and password that you may set to establish an online account with us.
Multi-factor authentication (“MFA”) information, if you opt in, such as MFA preference status, enrolled authenticator device metadata, encrypted recovery codes, and authentication and security logs.
Feedback, such as information you provide when you contact us with questions, feedback, or otherwise correspond with us.
Transaction history, such as information about your purchases. Any payment card information you provide is collected and processed directly by our payment processing partner, Stripe, Inc. (“Stripe”) We do not receive or store your payment card information. Stripe may use your payment card information in accordance with their own Privacy Policy for payment, analytics, and other business services. Stripe may collect your information including via cookies and similar technologies, including when you make a payment through the Service or otherwise interact with Stripe. The information Stripe collects may include transactional data and identifying information about devices that connect to its services. Stripe uses this information to operate and improve the services it provides to us, including for fraud detection, loss prevention, authentication, and analytics related to the performance of its services.
Information we obtain from third-party partners or publicly available sources, such as articles and content.
Information we obtain from third-party platforms or social media networks. If you choose to login to our Service via a third-party platform or social media network, or otherwise connect your account on the third-party platform or network to your account, we may collect information from that platform or network. For example, this information may include your Google, Apple, or other SSO login, as well as username, user ID, photos, and networks to which you belong. You may also have the opportunity to provide us with additional information via the third-party platform or network, such as a list of your friends or connections and their contact information. Additionally, if you permit us to access the address book on your device or give us permission to import your contacts from an email account associated with your account, we may access and store names and contact information from your address book to facilitate invitations and social interactions and for other purposes described in this Privacy Policy.
Engagement data, such as your preferences for receiving communications about our activities and details about how you engage with us and our communications.
Third-Party data. We may collect information about you from other sources, including other users of the Service. We may also collect commercially available information or information from public sources (such as professional-related news from data aggregators).
Automatically collected data. We and our service providers may use cookies, beacons, pixel tags and other tracking technologies to automatically log information about you, your computer or mobile device, and your activity over time on the Service, including:
Device data, such as your computer or mobile device operating system type and version number, manufacturer and model, browser type, screen resolution, IP address, device identifier, the website you visited before browsing our Service, and general location information such as city, state or geographic area.
Online Activity data, such as browsing history, search history, whether you clicked on or opened one of our emails, which of our pages or screens you viewed, how long you spent on a page or screen, navigation paths between pages or screens, information about your activity on a page or screen, access times, and duration of access.
Analytics. For the avoidance of doubt, the Service may use third-party service platforms (including to help analyze how users use the Service). These third-party service platforms may place cookies on your computer or mobile device. HOW WE USE THE INFORMATION WE COLLECT
We use the information we collect for the following purposes:
Operations. We use the information that we collect in a variety of ways in operating the Service, including to:
provide, operate, promote, and improve the Service
establish and maintain your account
enable security features of the Service, such as sending you security codes via email, and remembering devices from which you have previously logged in
communicate with you about the Service, including by sending you announcements, updates, security alerts, and support and administrative messages
understand your needs and interests, and personalize your experience with the Service
respond to your requests, questions and feedback and provide you with customer support
protect the security of the Service and our systems
Research and development. We use the information we collect to analyze and improve our Service and to develop new services. We use Google Analytics for this purpose.
Marketing and promotional communications. We may send you Ren Systems-related marketing communications. You may always opt out, as described in the Opt out of marketing section below.
Comply with law. We use the information we collect as we believe is necessary or appropriate to comply with applicable laws, lawful requests, and legal process, such as to respond to subpoenas or requests from government authorities including to meet national security or law enforcement requirements.
Compliance, fraud prevention, and safety. We may use the information we collect and disclose it to law enforcement, government authorities, and private parties as we believe necessary or appropriate to: (a) protect our, your or others’ rights, privacy, safety or property (including by making and defending legal claims); (b) enforce the terms and conditions that govern the Service; (c) protect, investigate and deter against fraudulent, harmful, unauthorized, unethical or illegal activity; and (d) verify the identity of users, provide for secure login procedures, and recover user accounts.
Create de-identified or aggregated data. We may create de-identified or aggregated data from the information we collect. We de-identify your information by removing information that makes the data personally identifiable to you. We may use this data and share it with third parties.
Lawful Bases. Pursuant to the European Data Protection Laws, legal bases for our processing your information may include (without limitation):
where you have given consent to the processing, which consent may be withdrawn at any time without affecting the lawfulness of processing based on consent prior to withdrawal;
where it is necessary to perform the contract we have entered into or are about to enter into with you (whether in relation to the provision of the Service or otherwise);
where it is necessary for us to comply with a legal obligation to which we are subject; and/or
where it is necessary for the purposes of our legitimate interests (or those of a third party) in providing, improving, or marketing the Service and your interests or fundamental rights and freedoms do not override those legitimate interests.
HOW WE SHARE THE INFORMATION WE COLLECT
We may share the information we collect with:
Service providers. We may share your information with third-party entities that provide services on our behalf (such as customer support, hosting, analytics, email delivery, marketing, database management services, and MFA service providers). We take commercially reasonable steps designed to ensure these third parties are capable of protecting the security of your information. Please note that when users use our Service, third parties (including without limitation third-party analytics service providers and commercial partners) may directly collect information about our users’ online activities over time and across different websites.
For compliance, fraud prevention and safety. We may share your information for the compliance, fraud prevention and safety purposes described above, including in connection with a court order, subpoena, government investigation, or when otherwise required by law.
Business transfers. We may sell, transfer or otherwise share some or all of our business or assets, including your information, in connection with, or during negotiation of, a corporate sale, merger, acquisition, investment, financing, or similar event.
Affiliates. We may disclose information about you to our Corporate Affiliates. For purposes of this Privacy Policy: “Corporate Affiliate” means any person or entity which directly or indirectly controls, is controlled by or is under common control with Ren Systems, Inc., whether by ownership or otherwise; and “control” means possessing, directly or indirectly, the power to direct or cause the direction of the management, policies or operations of an entity, whether through ownership of fifty percent (50%) or more of the voting securities, by contract or otherwise.
Professional advisors. We may provide your information to professional advisors, such as lawyers, auditors, bankers, and insurers, where necessary in the course of the professional services that they render to us.
YOUR CHOICES AND RIGHTS
Access or update your information. If you have registered for an account with us, you may review and update certain information in your account profile by logging into the account. You may delete your account by contacting us at account@rensystems.com.
Opt-out of marketing communications. You may opt out of marketing-related emails by following the opt-out or unsubscribe instructions at the bottom of the emails you receive from us. It may take up to 10 business days before you stop receiving promotional emails. This opt-out does not apply to operational communications, such as order confirmations.
Cookies & browser web storage. Most browsers let you remove or reject cookies. To do this, follow the instructions in your browser settings. Many browsers accept cookies by default until you change your settings. Please note that if you set your browser to disable cookies, the Service may not work properly. Similarly, your browser settings may allow you to clear your browser web storage. For more information about cookies, including how to see what cookies have been set on your device and how to manage and delete them, visit www.allaboutcookies.org. To prevent the use of Google Analytics (including its data reporting features) relating to your use of our Service, you can download and install the browser plug-in available here. Please note that information collected by Google Analytics includes but is not limited to web metrics. Third-party platforms or social media networks. If you choose to connect a third-party platform or social media network to the Service, you may have the ability to limit the information that we may obtain from the third party at the time you login to the Service using the third-party’s authentication service or otherwise connect your account. Subsequently, you may be able to control your settings through the third-party’s platform or service. If you withdraw our ability to access certain information from a third-party platform or social media network, that choice will not apply to information that we have already received from that third party.
In addition, under certain circumstances and in compliance with the European Data Protection Laws, you may have the right to:
Request access to your information (commonly known as a ‘subject access request’). This enables you to receive a copy of the information we hold about you and to check that we are lawfully processing it;
Request correction of the information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected;
Request erasure of your information. This enables you to ask us to delete or remove your information where there is no good reason for us to continue processing it. You also have the right to ask us to delete or remove all of your information in certain circumstances;
Object to processing of your information where we are relying on a legitimate interest (or that of a third party) and there is something about your particular situation which makes you want to object to processing on this ground;
Request the restriction of processing of your information. This enables you to ask us to suspend the processing of your information, for example, if you want us to establish its accuracy or the reason for processing it;
Request the transfer of your information to another party; and
Lodge a complaint with the relevant supervisory authority (as defined in the European Data Protection Laws). If you have any complaints about the way we process your information, please do contact us. Alternatively, you may lodge a complaint with the supervisory authority which is established in your country.
If you want to review, verify, correct or request erasure of your information, object to the processing of your information, or request that we transfer a copy of your information to another party, please contact privacy@rensystems.com.
Such updates, corrections, changes and deletions will have no effect on other information that we maintain, or information that we have provided to third parties in accordance with this Privacy Policy prior to such update, correction, change or deletion. To protect your privacy and security, we may take reasonable steps (such as requesting a unique password) to verify your identity before granting you profile access or making corrections. You are responsible for maintaining the secrecy of your unique password and account information at all times.
You should be aware that it may not be technologically possible to remove each and every record of the information you have provided to us from our system. The need to back up our systems to protect information from inadvertent loss means that a copy of your information may exist in a non-erasable form that will be difficult or impossible for us to locate. After receiving your request, we will use commercially reasonable efforts to update, correct, change, or delete, as appropriate, your information stored in databases we actively use and other readily searchable media as appropriate, as soon as and to the extent reasonably practicable.
CHILDREN’S INFORMATION
The Service is intended for a general audience and is not directed at children under 13 years of age. We do not knowingly request information from anyone under the age of 13 without requiring parental consent. Any person who provides their information to us through our Service represents that they are at least 13 years of age. If you are a parent or guardian and you believe we have collected information from your child in a manner not permitted by law, contact us at privacy@rensystems.com. We will remove the data to the extent required by applicable laws.
SECURITY
Ren Systems maintains commercially reasonable physical, electronic, and procedural safeguards designed to protect your information. We cannot, however, guarantee the security of information.
If you have an account with us, your account is protected by a password that you select. It is your responsibility to protect your password appropriately and to limit access to your computer or device and browser by, among other things, signing off after you have finished accessing your account.
DO-NOT-TRACK
Some web browsers have a “Do-Not-Track” feature. This feature lets you tell websites you visit that you do not want to have your online activity tracked. These features are not yet uniform across browsers. Our Service is not currently set up to respond to those signals. To find out more about “Do Not Track,” please visit http://www.allaboutdnt.com.
THIRD-PARTY WEBSITES
The Service may contain links to websites operated by third parties over which we have no control. Should you click on a link to a third-party website, the privacy policy of that website will apply instead of our Privacy Policy. A link to a third-party website does not constitute or imply endorsement by us. We are not responsible for the content or security of third-party websites.
INTERNATIONAL DATA TRANSFER
Ren Systems is a U.S. company, and our privacy practices are subject to U.S. laws and not the laws of other countries or jurisdictions. If you use the Service, or otherwise interact with us, we will process your information as described in this Privacy Policy, in the U. S. and other countries, where laws regarding processing of information may be less stringent than the laws in your country. To the extent required by applicable law: whenever we transfer your information to third parties (as described in this Privacy Policy) located in countries that do not ensure adequate protection for your information (as determined by the European Commission or the UK Information Commissioner’s Office, as applicable, each, an “Inadequate Jurisdiction”), we ensure a similar degree of protection is afforded to it; we may use specific contracts approved by the European Commission (accessible at https://eur-lex.europa.eu/eli/dec_impl/2021/914/oj) or the UK Information Commissioner’s Office (accessible at https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/international-transfers/international-data-transfer-agreement-and-guidance/), as applicable, which give your information the same protection it has in the European Economic Area or the United Kingdom, as applicable, under the European Data Protection Laws; and if we rely on another basis to transfer your information to an Inadequate Jurisdiction, we will keep you updated or contact you if required. We will only retain your information for as long as necessary to fulfill the purposes for which we collected it or as otherwise permitted by applicable law.
To determine the appropriate retention period for information, we consider the amount, nature, and sensitivity of that information, the potential risk of harm from unauthorized use or disclosure, the purposes for which we process your information and whether we can achieve those purposes through other means, and the applicable legal requirements.

This Section 13 applies to Ren Systems only to the extent that (A): Ren Systems is regulated by (i) the Texas Data Privacy and Security Act (TDPSA); and/or (ii) the Nebraska Data Privacy Act (NDPA); and (B) you are (i) a Texas or Nebraska resident (as applicable); and (ii) a “consumer” as defined in the Other State Laws.

Please note that to the extent we consider Deidentified Data outside the scope of the Other State Laws because it is not identifiable, then, to the extent required by the Other State Laws, we hereby publicly commit to process Deidentified Data in our possession only in a de-identified fashion and not attempt to re-identify such Deidentified Data. “Deidentified Data” means data that cannot reasonably be linked to an identified or identifiable Texas or Nebraska resident, or a device linked to that Texas or Nebraska resident.
